Set up Public Portals

Public Portals header

Make portals that log users straight into specific folders or areas of your Kontainer.

These are encrypted links you can share without any worries. The links users only see files and data you make available to them.

Typical uses include:

  • Press Access
  • Public Image Banks
  • Brand Portals

The portal links work like any other user in Kontainer, so you can always change permissions and settings.

An added benefit; you can change the landing page for your portal. See the example below, where one portal has two landing page variations.

  1. Press Access (original link)

This is our guide to setting up Public Portals in your Kontainer:

Create a Portal/Direct Link User | Set Permissions | Retrieve the Portal Link | Select a Different Landing Page/Folder

 

Create a Portal/Direct Link User

Go to Access → Users → New User (top right corner).

Select the Direct Link user.

Give your user a name and select the relevant settings:

  • Allow users to share access by copying folder URLs
  • Expiry date?
  • Language
  • Set to Active
  • User can create Share links for files and folders
  • Show Brand Section in the folder menu

Create the user and go on to set access. By default, new users have no access.

 

Set Permissions

If you use Groups, you can add the user to one or several groups to set up access.

If you don’t use Groups, you will set permissions manually. The types of access you need to consider are:

  • Folder access
  • Download Options
  • Field Visibility

Folder Access controls which folders your user can view, download, edit or delete files in. Access is inherited into subfolders unless manually broken.

Download Options controls the formats your user can download your files.

Field Visibility controls which data/search filters your user can see (Pro+ feature)

 

Retrieve the Portal Link

There are two ways to retrieve the URL for your Portal.

  1. From your user listPublic Portals image 3

  3. When ‘‘Allow users to share access by copying URLs’’ is activated, users can copy the folder URL.Public Portals image 5

Select a Different Landing Page/Folder

  1. Go to a folder and open the info panel (right-hand side).
  2. Open the Direct URL section.
  3. Select it from the drop-down menu (only users with access to the folder will show in the list).Public Portals image 6
  4. From here, you can copy your new link.Public Portals image 7

This link exists with the original user link; you can still retrieve it from the user list.

You can create as many of these as you want.
