You can easily give, edit, and remove rights for user groups or individual users.<\/p>\n<hr \/>\n<p>&nbsp;<\/p>\n<h2 id=\"chapter0\">MANAGING ACCESS<\/h2>\n<p>Depending on user types and permissions, there are different ways to access Kontainer. You can see and edit everything when you log in as an admin user.<\/p>\n<p>What your end users see can range from a single image to your entire asset library, from view only to delete rights.<\/p>\n<p>Access to files is granted via folders, or you might call them areas. There are five levels of access:<\/p>\n<ol>\n<li>None<\/li>\n<li>View<\/li>\n<li>Download<\/li>\n<li>Upload<\/li>\n<li>Delete<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/02\/Image-1.png\" alt=\"Kontainer Permissions 1\" width=\"800\" height=\"389\" \/><\/p>\n<p>Permission can always be changed, and any changes are instant. Users can have a sum of permissions granted via group memberships and individual settings. All-access is actively granted or determined by rules.<\/p>\n<p>This guide covers the basics of different user types and permissions you can set in your Kontainer.<\/p>\n<hr \/>\n<p>&nbsp;<\/p>\n<h2 id=\"chapter1\">PRESETS FOR PERMISSIONS<\/h2>\n<p>Before you even start setting up users, there are three types of presets to consider:<\/p>\n<ul>\n<li>Which tags to expose<\/li>\n<li>What download templates to create<\/li>\n<li>Do you want a brand section<\/li>\n<\/ul>\n<p>Have a look at these tools when you are setting up users and user groups. You can always come back and add\/edit these presets.<\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"chapter2\">Field Sets<\/h3>\n<p><span style=\"color: #bfa27b;\"><strong>Pro+ feature<\/strong><\/span><\/p>\n<p>With Custom Fields, you can tag your images with attributes, data and information. <span style=\"color: #bfa27b;\"><a href=\"https:\/\/helpdesk.kontainer.com\/de\/article\/verschlagworten-filtern-suchen\/\">See the guide on Custom Fields here<\/a><\/span>.<\/p>\n<p>However, often our customers want to vary the information exposed to different users. This is managed under Field Sets.<\/p>\n<p>In your Admin menu on the far left, select <strong>Access \u2192 Field Sets<\/strong> to make presets to activate on groups or individual users.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/02\/Image-4.png\" alt=\"Kontainer Permissions 4\" width=\"800\" height=\"389\" \/>If you are setting up from a demo profile, there are a few demo field groups to delete before you start. Click on the <strong>three dots<\/strong> of each group and <strong>Delete<\/strong>.<\/p>\n<p><strong>Create New<\/strong> field sets from the top right button. Start by giving the set a name.<br \/>\nIt could be role-based, like:<\/p>\n<ul>\n<li>German Distributors<\/li>\n<li>Internal Customer Service<\/li>\n<li>External Agency<\/li>\n<\/ul>\n<p>Or maybe purpose-based, like:<\/p>\n<ul>\n<li>Copyright<\/li>\n<li>Products Information<\/li>\n<li>Consent<\/li>\n<\/ul>\n<p>Users can have access to more than one set of fields.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/02\/Image-5.png\" alt=\"Kontainer Permissions 5\" width=\"800\" height=\"389\" \/><br \/>\nOnce created, click on your new field set to select field access.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/02\/Image-6.png\" alt=\"Kontainer Permissions 6\" width=\"800\" height=\"389\" \/><\/p>\n<p>Make as many field groups\/sets as you see fit. And then, let\u2019s move on to download options.<\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"chapter3\">Download Options<\/h3>\n<p class=\"p1\">Duplicated images are a headache, so we aim to avoid duplicates in Kontainer. We encourage you to store only your originals and use templates and customize any additional download options needed.<\/p>\n<p class=\"p1\">For this reason, you can set up download templates. <a href=\"https:\/\/helpdesk.kontainer.com\/de\/article\/einfuehrung-in-downloadvorlagen\/\">Check out this guide here<\/a> if you don\u2019t know how to set them up.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/02\/Image-7.png\" alt=\"Kontainer Permissions 7\" width=\"800\" height=\"389\" \/><\/p>\n<p class=\"p3\">Once you have created your download options, they are easy to activate for your users. We\u2019ll get back to that further down.<\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"chapter4\">Brand Section<\/h3>\n<p>The last thing to touch on is the Brand Section which you can add to the left-hand menu (not visible to Admin users).<\/p>\n<p>You can activate this section on your users to display contact details, Social Media links, and more.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/02\/Image-8.png\" alt=\"Kontainer Permissions 8\" width=\"800\" height=\"389\" \/><\/p>\n<p><a href=\"https:\/\/helpdesk.kontainer.com\/de\/article\/kontaktbereich-hinzufuegen\/\">We have a complete guide here<\/a> if you want to set that up.<\/p>\n<p>Now, let\u2019s have a look at creating users and user groups.<\/p>\n<hr \/>\n<p>&nbsp;<\/p>\n<h2 id=\"chapter5\">SETTING UP USER GROUPS<\/h2>\n<p><span style=\"color: #bfa27b;\"><strong>Pro+ feature<\/strong><\/span><\/p>\n<p class=\"p1\">Okay, so user access can be set up on two levels:<\/p>\n<ol>\n<li class=\"p2\">User groups<\/li>\n<li class=\"p1\">Individual users<\/li>\n<\/ol>\n<p class=\"p1\">Permissions are set in the same way for individual users and groups.<\/p>\n<p class=\"p1\">When access is set on a group level, it\u2019s quick to add new users and make changes. The initial effort will give you a better overview and save time on user management as you grow.<\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"chapter6\">What Are Groups?<\/h3>\n<p class=\"p1\">You can approach groups from different angles. You can think of them as user types, like:<\/p>\n<ul class=\"ul1\">\n<li class=\"li2\">Sales Team<\/li>\n<li class=\"li2\">Distributors<\/li>\n<li class=\"li2\">Press<\/li>\n<li class=\"li2\">Agency<\/li>\n<\/ul>\n<p class=\"p1\">And as an access type, such as:<\/p>\n<ul class=\"ul1\">\n<li class=\"li2\">Brand Guide Internal<\/li>\n<li class=\"li2\">Brand Guide External<\/li>\n<li class=\"li2\">German Market<\/li>\n<li class=\"li1\">Danish Market<\/li>\n<\/ul>\n<p class=\"p1\">Users can be added to multiple groups.<\/p>\n<p class=\"p1\"><strong>For example<\/strong>, a German marketing agency gets access to the groups:<\/p>\n<ul class=\"ul1\">\n<li class=\"li2\">German Market<\/li>\n<li class=\"li2\">Agency<\/li>\n<li class=\"li1\">Brand Guide External<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<h3 id=\"chapter7\">Set Up Groups<\/h3>\n<p>Go to: <strong>Access &amp; Groups<\/strong>.<\/p>\n<p>Here you might find some demo groups. To remove these:<\/p>\n<ol>\n<li>Click on the group<\/li>\n<li>Go to <strong>Group settings<\/strong> in the group menu<\/li>\n<li><strong>Delete Group<\/strong> in the top right corner.<\/li>\n<\/ol>\n<p>You click on <strong>New Group<\/strong> (in the top right corner) on the Groups page to create a new one.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/02\/Image-9.png\" alt=\"Kontainer Permissions 9\" width=\"800\" height=\"389\" \/><\/p>\n<p class=\"p1\">Give the group a name that makes sense to you. It could be for your Sales Team, Distributors, Customer Service, etc.<\/p>\n<p class=\"p1\">Tick the box Active and then <strong>Save<\/strong>.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/02\/Image-10.png\" alt=\"Kontainer Permissions 10\" width=\"800\" height=\"389\" \/><\/p>\n<p class=\"p1\">You will be taken to the Permissions menu of your new group. There are five permission levels:<\/p>\n<ol>\n<li class=\"p2\">None<\/li>\n<li class=\"p2\">View<\/li>\n<li class=\"p2\">Download<\/li>\n<li class=\"p2\">Upload<\/li>\n<li class=\"p2\">Delete<\/li>\n<\/ol>\n<p class=\"p1\">With <strong>Delete rights<\/strong>, a user can also create new folders. They can create subfolders in the specific folders they have Delete rights to.<\/p>\n<p class=\"p1\">Please note that <strong>subfolders automatically inherit<\/strong> access unless manually overwritten. They can receive notifications when new comments and files are added.<\/p>\n<p class=\"p1\">This user type is the only one with the rights to create and manage other users.<\/p>\n<p class=\"p1\">To create a <strong>New User<\/strong>, go to <strong>Access \u2192 Users<\/strong>, and find the button in the top right corner.<\/p>\n<p class=\"p1\">Select Admin User and fill out the form.<\/p>\n<p class=\"p1\">Send out an email invitation upon user creation by ticking the box in the form. This makes it quick to add new users and ensure they have the appropriate access.<\/p>\n<p class=\"p1\">The user can be a member of more than one group. Additionally, you can grant individual permission.<\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"chapter19\">Create Single-Sign-On Users (SSO)<\/h3>\n<p><span style=\"color: #bfa27b;\"><strong>Premium+ feature<\/strong><\/span><\/p>\n<p class=\"p1\">Set up users in Kontainer via SSO to create a secure and seamless experience for your internal users.<\/p>\n<p class=\"p1\">We have a standard setup for Microsoft Entra ID, ADFS and Google. <a href=\"mailto:js@kontainer.com?subject=SSO%20Enquiry\"><strong>Get in touch for other setups<\/strong><\/a>.<\/p>\n<p class=\"p1\">We create a \u2018\u2019Trust\u2019\u2019 between your AD groups (managed by your IT) and Kontainer. This means the user will automatically be created and assigned predetermined groups when they log in the first time. Like any other group in Kontainer, you can manage access settings on an ongoing basis. The settings include:<\/p>\n<ul class=\"ul1\">\n<li class=\"li2\">Folder access<\/li>\n<li class=\"li2\">Download options<\/li>\n<li class=\"li1\">Field visibility<\/li>\n<\/ul>\n<p class=\"p1\">You can read more about settings in the respective sections of this guide.<\/p>\n<p class=\"p1\">To keep your user list manageable, you can determine rules that will deactivate or delete users that have not been logged in for a certain amount of time \u2013 like 2, 4 or 6 months. In this case, we offer the Delegated Admin option.<\/p>\n<p class=\"p1\">A Delegated Admin is a Normal User with the rights to create Normal Users and manage their access.<\/p>\n<p class=\"p1\">A Delegated Admin can never give access to anything they can\u2019t access. It is a controlled way of allowing colleagues to manage the access of their teams.<\/p>\n<p class=\"p1\"><a href=\"mailto:mail@kontainer.com?subject=Delegated%20Admin%20Enquiry\"><strong>Get in touch<\/strong> <\/a>to learn more.<\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"chapter21\">Set Expiry Dates<\/h3>\n<p class=\"p1\">When you create or edit users, you can set an expiry date. At the time of the expiry date, the user will be deactivated. To get back in, log out and then in again.<\/p>\n<p class=\"p1\"><strong>NOTE:<\/strong> No passwords will be compromised, as you will never be prompted to enter passwords.<\/p>\n<hr \/>\n<p>&nbsp;<\/p>\n<h2 id=\"chapter23\">USER LANDING PAGES\/FOLDERS<\/h2>\n<p>Where a user lands when they enter the platform is important. The first folder\/page they see might need custom text or design to introduce the user to your platform. Go to the Access menu or click on the Permissions button in the folder to edit.<\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"chapter28\">Edit Folder Permission Locally<\/h3>\n<p class=\"p1\">After the initial setup, you can always edit the group and user access to your folders.<\/p>\n<p class=\"p1\"><strong>NOTE:<\/strong> By default, access is inherited by subfolders. Also, newly created subfolders will inherit access rights unless manually changed.<\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"chapter29\">Release Dates<\/h3>\n<p><span style=\"color: #bfa27b;\"><strong>Premium+ feature<\/strong><\/span><\/p>\n<p class=\"p1\">We have that option available if you need to set specific release dates for folders\/content.<\/p>\n<p class=\"p1\">A new option will appear in the folder Permission feature.
