That\u2019s our technical term for a category of tags, like:<\/p>\n<ul>\n<li>Photographer<\/li>\n<li>Country<\/li>\n<li>EAN-number<\/li>\n<\/ul>\n<p>Custom Fields are tag categories that can also be added as search filters.<\/p>\n<p>The fields further allow automation and integrations to import and export data.<\/p>\n<p>Read on to find out more.<\/p>\n<p>&nbsp;<\/p>\n<hr \/>\n<h2><\/h2>\n<h2 id=\"chapter0\">INTRO<\/h2>\n<p>Custom Fields are categories or data types you add to your images and assets. You can also set up a release date or a deadline.<\/p>\n<p>A <u>Restrictions Field<\/u> will enable a pop-up to appear when an image\/file is subject, e.g., specific uses or copyright. The field will only allow users to download the image or file after approving the restrictions.<\/p>\n<hr \/>\n<p>&nbsp;<\/p>\n<h2 id=\"chapter1\">GET STARTED<\/h2>\n<p>When you set up these category fields, think about what kind of data would be helpful for your users.<\/p>\n<p>Knowing that any custom field can be added as a search filter in the advanced search is helpful. This is one of the main benefits of these categories.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/02\/CF-Image-3.png\" alt=\"Custom Fields Guide image 3\" width=\"800\" height=\"389\" \/><\/p>\n<h3 id=\"chapter2\">Category Searchability<\/h3>\n<p>Let searchability guide you when setting up your category\/custom field structure.<\/p>\n<p>Ask yourself how your users want to search. Do they like to filter by different product attributes or maybe motif-related aspects?<\/p>\n<p>The search fields activated will match their category\/custom field. And we also offer bulk search.<\/p>\n<h3 id=\"chapter3\">Bulk Search<\/h3>\n<p>This feature expands a search filter so you can drop copied cells from a spreadsheet, email confirmation or other. It could be something like:<\/p>\n<ul>\n<li>EAN number = Text Field<\/li>\n<li>Collection = Single select, dropdown menu<\/li>\n<li>Materials = Multi-select, dropdown menu<\/li>\n<\/ul>\n<p>Or<\/p>\n<ul>\n<li>Photographer = Text Field<\/li>\n<li>Consent Agreement = Attachment, single<\/li>\n<li>Expiry Date = Date Field<\/li>\n<li>Description = Text Area<\/li>\n<\/ul>\n<p>Let us know if you want any guidance. It is easy to add data into new fields.<\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"chapter5\">Adding &amp; Editing Values<\/h3>\n<p>Once your custom fields have been set up, you\u2019ll want to add values\/tags to any that use the select function.<\/p>\n<p>Go to <strong>Resources \u2192 DAM Fields<\/strong>, click on the three dots next to a field and select &#8222;Edit field options&#8220;.<\/p>\n<p>Here, you can add new options. Unless otherwise instructed, you can add the same in both<br \/>\n\u2018\u2019Name\u2019\u2019 and \u2018\u2019Internal Value\u2019\u2019.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/02\/CF-Image-5.png\" alt=\"Custom Fields Guide image 5\" width=\"800\" height=\"389\" \/><\/p>\n<p>Moreover, you can edit the value names, delete values and change the sort order.<\/p>\n<p>You can also add values later when editing the data on your files.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/02\/CF-Image-6.png\" alt=\"Custom Fields Guide image 6\" width=\"800\" height=\"389\" \/><\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"chapter5.1\">Change Field Settings<\/h3>\n<p>There is a bunch of field settings that you can manage yourself in the Kontainer resources menu.<\/p>\n<p>Navigate to <strong>Resources \u2192 DAM Fields<\/strong>, click on the three dots next to a field and select &#8222;Edit field settings&#8220;.<\/p>\n<p>In here, you can:<\/p>\n<ul>\n<li>Add and edit export names of the fields<\/li>\n<li>Make a field mandatory<\/li>\n<li>Include\/exclude the field&#8217;s values from search indexing<\/li>\n<li>Add\/remove the field as a search filter in the advanced search<\/li>\n<\/ul>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone \" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2024\/10\/Chaneg-field-settings.png\" alt=\"Custom Fields Guide image 6\" width=\"418\" height=\"387\" \/><\/p>\n<hr \/>\n<p>&nbsp;<\/p>\n<h2 id=\"chapter6\">INPUT DATA<\/h2>\n<p>Once your fields\/categories are set up, it\u2019s time to add data.<\/p>\n<h3 id=\"chapter7\">Manual Editing<\/h3>\n<p>You can edit the data for many files simultaneously, and there are two options.<\/p>\n<ol>\n<li><strong>Edit File Data<\/strong><br \/>\nWhen you add data here, you can either click on \u2018Save for all\u2019 or \u2018Save and next.\u2019 The system will save all your data input for the following image using the latter. So you don\u2019t have to keep adding the same information to all your pictures. You can simply edit the data that differs.<\/li>\n<li><strong>Bulk Edit File Data<\/strong><br \/>\nWith this option, you have to open the fields you would like to edit while the rest stay locked.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/02\/CF-Image-7.png\" alt=\"Custom Fields Guide image 7\" width=\"800\" height=\"389\" \/><\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"chapter8\">Auto-enrichment<\/h3>\n<p>Four out of five times, our customers want to skip the manual editing. They don\u2019t want to spend time manually tagging their files. They might have fields with pricing, internal data or market-specific information relevant only to some users.<\/p>\n<p>Admin users can see everything, but field visibility must be<br \/>\nactivated on all other user types.<\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"chapter12\">Field Sets<\/h3>\n<p>To give users view access to the custom fields, you first set up Field Sets.
