{"id":6857,"date":"2023-04-12T15:38:00","date_gmt":"2023-04-12T13:38:00","guid":{"rendered":"https:\/\/helpdesk.kontainer.com\/article\/user-maintenance-guide\/"},"modified":"2026-01-28T12:30:52","modified_gmt":"2026-01-28T11:30:52","slug":"nutzerpflege","status":"publish","type":"article","link":"https:\/\/helpdesk.kontainer.com\/de\/article\/nutzerpflege\/","title":{"rendered":"Nutzerpflege"},"content":{"rendered":"<p>As your list of users grows, people leave and come into new positions you can start to lose track.<\/p>\n<p>This guide helps you maintain your list of users and manage access to avoid unwanted use.<\/p>\n<p>We recommend:<\/p>\n<ul>\n<li>Reviewing your list on a regular basis<\/li>\n<li>Using Groups to manage access<\/li>\n<li>Clearing individual access when using groups<\/li>\n<\/ul>\n<p>Read on below to find out more.<\/p>\n<hr \/>\n<h2 id=\"REVIEWYOURUSER\">REVIEW YOUR USER LIST<\/h2>\n<p>Make sure no one has unwanted access to your Kontainer by regularly deleting or deactivating users who are no longer associated with you.<\/p>\n<p>Reactivate any users who have automatically been deactivated due to expiry dates on their user accounts.<\/p>\n<h3 id=\"RemoveorDeactivate\">Remove or Deactivate Users<\/h3>\n<p>Go to <strong>Access \u2192 Users<\/strong><\/p>\n<ul>\n<li>Use the search bar to find users<\/li>\n<li>Click on the three-dotted icon<\/li>\n<li>Select <strong>Deactivate<\/strong> or <strong>Delete<\/strong><\/li>\n<\/ul>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/04\/user-maintenance-image-1.png\" alt=\"user maintenance image 1\" width=\"800\" height=\"389\" \/><\/p>\n<p>If you can\u2019t find a user, they might have been moved to Inactive users.<\/p>\n<h2><\/h2>\n<h3 id=\"Inactiveusers\">Inactive users<\/h3>\n<p>Any user you can\u2019t find or who can\u2019t gain access might be in the Inactive users tab. To reactivate the user:<\/p>\n<ol>\n<li>Click the user<\/li>\n<li>Select a new <strong>Expiry date <\/strong><\/li>\n<li>Tick the box <strong>Active<\/strong><\/li>\n<li>And <strong>Save<\/strong><\/li>\n<\/ol>\n<p>Users that no longer require access you can delete from here as well.<\/p>\n<h2 id=\"USEGROUPSTOMANAGEACCESS\">USE GROUPS TO MANAGE ACCESS<\/h2>\n<p><span style=\"color: #bfa27b;\"><strong>Pro+ feature<\/strong><\/span><\/p>\n<p>Generally, we recommend using Groups to manage access. Groups will help you quickly add new users to your Kontainer, change who can see what, and avoid inappropriate access.<\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"MakeUserGroups\">Make User Groups<\/h3>\n<p>You can approach groups from different angles, and users can be added to multiple groups.<\/p>\n<p><strong>For example<\/strong>, a German marketing agency gets access to the groups:<\/p>\n<ul>\n<li>German Market<\/li>\n<li>Agency<\/li>\n<li>Brand Guide External<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>Groups can be user types, like:<\/p>\n<ul>\n<li>Sales Team<\/li>\n<li>Distributors<\/li>\n<li>Press<\/li>\n<li>Agency<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>And access types, such as:<\/p>\n<ul>\n<li>Brand Guide Internal<\/li>\n<li>Brand Guide External<\/li>\n<li>German Market<\/li>\n<li>US Market<\/li>\n<\/ul>\n<p><a href=\"https:\/\/helpdesk.kontainer.com\/de\/article\/berechtigungen\/#chapter5\">Find out more about setting up Groups in our Permissions guide.<\/a><\/p>\n<p>When you start using Groups, you will want to clear user access settings.<\/p>\n<p>&nbsp;<\/p>\n<h3 id=\"ReplaceIndividualAccesswithGroups\">Replace Individual Access with Groups<\/h3>\n<p>Create a new user or go to <strong>Access \u2192 User \u2192 Folder Access<\/strong><\/p>\n<p>Add the user to the relevant Groups.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/04\/user-maintenance-image-2.png\" alt=\"user maintenance image 2\" width=\"800\" height=\"389\" \/><\/p>\n<p>Ignore or clear all individual access settings.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/helpdesk.kontainer.com\/wp-content\/uploads\/2023\/04\/user-maintenance-image-3.png\" alt=\"user maintenance image 3\" width=\"800\" height=\"389\" \/><\/p>\n<p>&#8212;<\/p>\n<p>That\u2019s it.
